Who we are
TextedBack is a missed-call text-back service operated by Rapid Log Data Inc., an Ontario corporation. When we say "we", "us" or "our", we mean TextedBack. This policy covers two groups of people: the businesses that subscribe to our service ("clients"), and the people who call those businesses and receive a text from us on the business's behalf ("callers").
What we collect from clients
When you inquire about or sign up for the service, we may collect:
- Your name, email address and cell number
- Your business name, trade, service area and the hours you work
- The cell numbers of anyone you want to receive job summaries, and any numbers you ask us to treat as private
- Payment information, processed securely through Stripe. We never store your card details ourselves.
When you visit our website we may collect basic analytics such as pages visited and referring source. We do not use advertising cookies.
What we collect from callers
When someone calls a client business and the call is not answered, the call is forwarded to us. For that call we record:
- The caller's phone number, the number they called, and the time of the call
- Whether the number is a mobile or a landline, so we know whether a text can be sent
- Any voicemail the caller chooses to leave, and a transcript of it
- The text conversation that follows, including what the caller tells us about the job they need done
We use this only to let the business know who called and what they need. We do not use callers' information for marketing, and we never sell it or share it with anyone other than the business they called.
How we use information
- To send a text, on the business's behalf, to a caller the business did not answer
- To ask the caller what they need and pass a short summary to the business
- To send clients their job summaries and a weekly activity email
- To process subscription payments and communicate with clients about their account
Third-party services
We use a small number of trusted services to deliver the product:
- Twilio - to receive forwarded calls, record voicemails, and send and receive text messages
- Anthropic - to draft the text replies and summarise voicemails and conversations
- Stripe - to process subscription payments
- Cloudflare - to host our website and systems
Phone numbers and text-messaging consent are never shared with third parties for their own marketing purposes.
Private numbers
Clients can give us a list of numbers - family, friends, suppliers - that they do not want handled by the service. Calls from those numbers get a plain "leave a message" greeting, no text is sent, and the recording is passed to the client without being read or transcribed.
Data retention
Call recordings, voicemail transcripts and text conversation transcripts are deleted seven days after the call. The short job summary (the caller's number, what they needed, where and when) is kept in the client's account for as long as the account is active, and for up to 90 days after cancellation in case the client reactivates, after which it is permanently deleted. Clients and callers may request earlier deletion at any time by contacting us.
Your rights
Whether you are a client or a caller, you have the right to ask what personal information we hold about you, to have it corrected, and to have it deleted. Callers can opt out of further texts at any time by replying STOP.
Security
Data is transmitted over encrypted connections (TLS), our systems require authenticated access, and personal data is available only to the people who need it to run the service. No system is completely secure, but we take the protection of your information seriously.
Changes to this policy
We may update this policy from time to time. The date at the top of this page shows the most recent revision, and we will tell clients by email about any significant change.
